Implementation

What is the timeline for implementation?
Most implementations take 2–4 months, depending your availability for training, as well as your pharmacy setup and whether we already have an integration in place.

What does the implementation process look like?
We gather provider details (pharmacy, sites, staff roles), configure your system, set up pharmacy integration as needed, and complete training and QA. After a final review, we approve your Go Live.

Can we roll out in phases, including a pilot?
Yes. We recommend implementing for all staff by site or cluster of sites to avoid staff managing two systems at once.

What data comes from the pharmacy?
Individual profiles, diagnoses, allergies, and medication orders (new, changes, discontinuations). MAP staff can review and confirm orders in the system.

Does Impruvon Health connect to our EHR?
Yes, depending on your EHR’s capabilities. We recommend integrating the pharmacy first, then evaluating the need for the EHR integration.

Training & Support

How is staff trained?

  • Virtual and in-person role-based training during implementation
  • On-demand e-learning modules for each role
  • Ongoing refresher courses
  • Best practice: designate internal “super users” to train new hires

Is technical support available?
Yes. Support is available via email, phone, and web form.

Contracts & Costs

What is a MAP site?
MAP sites are defined by the DPH Medication Administration Program Policy Manual.

Will we need to sign a contract?
Yes. A contract and BAA are required during implementation.

What is the cost?

  • Impruvon is Covered by Massachusetts for all MAP sites at no cost to the provider.

What happens when the State contract ends?

  • When the State renews, your contract automatically renews
  • If the State terminates you may continue independently or cancel

Features & Capabilities

Does the system handle Leave of Absence (LOA)?
Yes. Med sheets are created for transfers of responsibility. This feature is being further developed with the State. 

What devices can be used?
Impruvon Health works on laptops, Chromebooks, tablets, and smartphones. Native Apps are available for iOS and Android.

Will orders be MAP compliant?
Yes, however, in the event that the pharmacy is missing elements, we will work with them to close the gaps. 

How are non-pharmacy orders handled?
They can be entered manually.

Can providers attach protocols?
Yes, via medication workflow settings, criteria, and notes.

How are controlled substance counts managed?
Counts can be logged during a medication administration, at shift change, or on an as needed basis. A bound Countable Controlled Substance Book must still be maintained per MAP policy.

How does eMAR support day programs?
The system allows scheduling transfers of responsibility between residential and day programs, ensuring medication coverage is clear.

What if internet or power goes out?

  • Offline mode allows access to Medpasses and logging activities
  • Events sync when connectivity is restored
  • Blank MARs can be exported/printed for paper documentation

Does Impruvon Health integrate with medication storage?
Yes. We offer smart MedBoxes that connect to the system and dispense meds securely.

Are MedBoxes double locked?
Yes. Each drawer requires two independent locks plus digital authentication through the app. All access attempts are logged for accountability.

Are MedBoxes included in the state contract?
No. MedBoxes are available at an additional cost.
